This Privacy Policy explains how Indigena Royalty Homes ("Indigena Royalty Homes," "we," "us," or "our") collects, uses, shares, and protects information when you visit our website, submit an application or interest form, use a member or property-owner portal, or communicate with us. This page is maintained by Indigena Royalty Homes to describe our own practices. It is not a certification, audit, or legal advice.

1. Who we are

Indigena Royalty Homes is a members-only community that supports members seeking housing and partners with property owners. You can reach us at the address and email listed in the “Contact us” section below.

2. Information we collect

We collect information you give us directly, and a limited amount automatically:

  • Application and intake information — name, email address, phone number, household details, and any program information you choose to share with us (for example veteran status or housing voucher participation) when you submit our application or intake forms.
  • Account and portal information — your login credentials handled by our authentication provider, your membership or partner status, and the stage of your file.
  • Agreements and documents — membership agreements, house-rules acknowledgments, marketing agreements, landlord contracts, your electronic signature, and files or property photos you upload to your portal.
  • Payment records — entry-fee and monthly membership payment amounts, dates, status, and the last four digits and card brand returned to us by our payment processor. We do not receive or store full card numbers.
  • Referral activity — referral codes you share, contact information you submit for someone you refer, referral status, and gift card requests.
  • Communications — messages, emails, and text messages you exchange with us, and our records of notices we send you.
  • Technical and log information — IP address, browser and device type, pages viewed, and error diagnostics generated when you use the site.

If you submit information about another person (for example someone you refer), please only share information you have their permission to share.

3. How we use your information

  • Review applications and determine membership or partnership eligibility.
  • Create and operate your member or property-owner portal, including stage tracking.
  • Match members with available homes from partnered property owners.
  • Prepare, deliver, and store agreements you sign electronically.
  • Process entry fees and monthly membership payments, issue receipts, send payment reminders and past-due notices, and apply any late fees described in your agreement.
  • Administer the referral program and gift card rewards, including fraud checks.
  • Respond to your questions and provide support.
  • Protect the security and integrity of our services and prevent abuse.
  • Comply with legal, tax, and recordkeeping obligations.

4. How we share your information

We share personal information only as needed to run the community, and only with parties that are required to protect it:

  • Payment processor — to accept and manage card payments and subscriptions.
  • Email and messaging providers — to deliver account, payment, and status notifications.
  • Hosting and database providers — to host the site, store your records, and keep backups.
  • Our internal customer records system — our own staff-facing system used to manage applications, stages, and documents.
  • Partnered property owners and members — we share only what is necessary to evaluate a placement, and we do not disclose member identities to property owners except as needed to move a placement forward.
  • Legal and safety — when required by law, subpoena, or legal process, or to protect the rights, property, or safety of our members, partners, staff, or the public.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.

We do not sell your personal information, and we do not share it with third parties for their own advertising purposes.

5. Text messages (SMS)

If you provide a mobile number, you consent to receive text messages from Indigena Royalty Homes about your application, portal status, appointments, documents, and payment reminders.

  • Message frequency varies based on your account activity.
  • Message and data rates may apply from your mobile carrier.
  • Reply STOP to any message to opt out, or HELP for help. You can also email us to be removed from text messaging.
  • Opting out of text messages does not close your account or stop essential email notices about payments and agreements.
  • Carriers are not liable for delayed or undelivered messages.
  • We do not share your mobile number with third parties for their marketing purposes.

6. Email communications

We send transactional emails such as application confirmations, portal invitations, agreement requests, payment receipts, reminders, and past-due notices. These are part of your membership or partnership and cannot be turned off while your account is active. Any non-essential or promotional email includes an unsubscribe link, or you can email us to opt out.

7. Cookies and similar technologies

We use cookies and browser storage that are necessary for the site to work — keeping you signed in, maintaining your session, remembering a referral code you arrived with, and protecting against abuse. We do not use third-party advertising or cross-site tracking cookies. You can block or delete cookies in your browser settings, but signing in and portal features may not work correctly if you do.

8. How long we keep information

We keep your information for as long as your account or file is active, and afterward for as long as needed to meet legal, tax, accounting, audit, and recordkeeping obligations, resolve disputes, and enforce our agreements. Signed agreements and payment records are typically retained longer than general account data because they document a financial or contractual relationship. When information is no longer needed, we delete it or remove identifying details.

9. How we protect information

Data is transmitted over encrypted connections and stored in an access-controlled database with row-level access rules, so members and property owners can only reach their own records. Uploaded documents and property photos are stored in private, non-public storage. Staff access is limited to the people who need it to do their work. Card payments are handled by a PCI-compliant payment processor.

No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If you believe your account has been compromised, contact us right away.

10. Your choices and rights

You may ask us to:

  • Access a copy of the personal information we hold about you.
  • Correct information that is inaccurate or out of date.
  • Delete information we no longer need to keep for legal, financial, or contractual reasons.
  • Stop text messages or non-essential email.
  • Close your account.

Email us at indigenaroyaltyhomes@holdannetwork.com with your request. We may need to verify your identity before acting, and we aim to respond within 30 days. We will not discriminate against you for exercising these choices.

11. Applications and nondiscrimination

Some information collected during the application process — such as household composition, veteran status, or participation in a housing voucher program — is sensitive. We collect it only to determine eligibility and to match members with appropriate housing, we limit access to it internally, and we use it consistently with fair housing principles. We do not use it to discriminate against applicants or members.

12. Children's privacy

Our services are intended for adults 18 and older. We do not knowingly collect personal information directly from children. Household information about minors may be included in an application submitted by an adult. If you believe a child has provided us information directly, contact us and we will delete it.

13. Third-party links and forms

Our site links to third-party services, including hosted application forms and our payment processor's checkout pages. Those services have their own privacy policies, and this policy does not cover their practices. Please review their policies before submitting information to them.

14. Changes to this policy

We may update this policy as our services change or as the law requires. When we do, we will update the effective date at the top of this page. If the changes are significant, we will notify members and partners by email or through the portal. Continuing to use our services after an update means you accept the revised policy.
